Information I may collect
- Your name, contact details and preferred method of communication.
- Information supplied in an enquiry or by a funeral director acting on your behalf.
- Details needed to plan and deliver a ceremony, including names, relationships, memories, readings, music choices and contributions.
- Correspondence, meeting notes, ceremony drafts, final scripts and practical service details.
- Payment, invoice and accounting information where relevant.
Please do not send more sensitive information than is necessary in the initial website form. Sensitive personal information volunteered later will only be used where relevant to planning or delivering the ceremony and where there is a valid legal basis to do so.
Why I use personal information
- To respond to enquiries and take steps requested before entering into an agreement.
- To arrange, write and deliver funeral, memorial and related ceremonies.
- To communicate with family members, funeral directors, venues and contributors involved in the ceremony.
- To manage payments, records, insurance, complaints and legal obligations.
- To protect the security and proper operation of the website and contact form.
Lawful bases
The main lawful bases are contract, steps taken at your request before a contract, legal obligation and legitimate interests in operating a safe and effective celebrant service. Consent will be used where it is the appropriate basis, for example for optional publication of photographs, named case studies or testimonials.
Where information comes from
Information normally comes directly from you. It may also come from a funeral director, another family member or contributor, or from publicly available material that a family asks me to use.
Who information may be shared with
Information is shared only where reasonably necessary. This may include the funeral director, crematorium or venue, family contributors, musicians or readers, professional advisers, insurers, accountants, and secure technology providers used for email, website hosting and form processing. Information may also be disclosed where required by law.
I do not sell personal information.
How long information is kept
- Enquiries that do not proceed are normally deleted within six months.
- Working notes and ceremony drafts are normally reviewed and deleted within twelve months after the ceremony, unless there is a clear reason to keep them longer.
- Final scripts may be retained for a limited period to answer family requests, resolve queries or defend legal claims, then securely deleted or anonymised.
- Invoices and financial records are kept for the period required by tax, accounting and legal obligations.
- Published testimonials, photographs or case studies are retained until consent is withdrawn or they are no longer needed.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information, object to processing, receive information in a portable format, or withdraw consent. Some rights are subject to legal exemptions.
To exercise a right, contact Allan using the details above. Requests will be handled without undue delay and normally within one month.
Security
Reasonable technical and organisational measures are used to protect personal information. No internet service is completely risk-free, so particularly sensitive information should not be sent through the initial website enquiry form.
Cookies and analytics
This first version of the website does not use advertising cookies, behavioural tracking or third-party analytics. The hosting platform may use strictly necessary technical functions to deliver and protect the site. If non-essential analytics or marketing tools are added later, this notice and the site’s consent controls will be updated before those tools are used.
Complaints
Contact Allan first so the concern can be investigated. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.
Changes to this notice
This notice will be reviewed when the way personal information is used changes and at least annually.
